If you’ve admired women who seems to have it all do it all, have an organised home, time for pampering and parties as well as family and friends, chances are they’re not doing it alone.

You are going to need a cup of tea or coffee to read this one. Go on – grab one now we will be here when you get back!

Busy mums these days are smart mums or as we like to call them – Superwomen. They see outsourcing not as a luxury but as a necessity. While many busy working women are inclined to invade their annual leave and sick days to get jobs done, superwomen know they can be outsourcing tasks that add no value to their life such as organising the pantry or playing taxi mum.

Now not saying mums don’t gain emotional value with this particular task (being a taxi mum), they are not gaining added value in the time or stress taken in cramming and rushing around in attendance to their taxi mum chores.

Our clients love looking like superwomen in the eyes of their clients, business associates and friends leaving them all wondering how they are so organised, relaxed and well rested. Most don’t reveal that they have hired help behind the scenes.

Client A outsources all her children’s after school activity taxi chores and more to us. These include afternoon tea preparation or purchased, pick up from school, escort into Ballet studio/football club, collection of newsletters from teachers, small grocery shop/delivery to home, unpack and small meal preparations (chopping vegetables), table setting and feeding the pets.

Once a single working busy mum of two I knew what emotions were attached but I also knew and felt what stress and anxiety levels came along the way. Rushing from work to collect the kids from school, checking they had all their school belongings (including that darn school hat) to then get them changed into their sporting gear, feed them afternoon tea, and personally escort them into their after school activity, praying we were not late to avoid any upset from the sports teacher or embarrassment to them not arriving on time. It was frustrating and just left me feeling completely drained with a sense of failing as a mum.

We don’t want busy mums feeling like this. We want to help and we have the solutions and services available. We are the secret little helpers to all Superwomen!

Put yourself in this Scenario

You have an early breakfast meeting with a new potential client. You escort the kids to school, lunches are pre-packed the night before. After school sporting uniforms are also packed and sitting at the front door waiting for your early morning dash out. You drop the kids off to only receive a phone call 25 minutes later from the school to tell you the permission slip required for tomorrows school outing was due to be returned today, and without it little Johnny can not attend.

Your action 1 or 2? Action 1

You panic, you cancel your breakfast meeting, rush home, grab the permission slip, get a speeding ticket, drop the permission slip into school, your hot flustered, angry and upset probably crying by now and arrive to work and the day doesn’t get any better.

OR Action 2

You call your ‘secret little helper’ My Go2 Girl, we have a key to your home, we collect the permission slip, we deliver it to the school, we forward you a text message to confirm all is good and well, you continue with your breakfast meeting and the day fits nicely in and around you.

Now which action would you prefer?

We know your children are precious and every task on your list which involves your children is a priority. Hand that over, outsource it and in return gain the better rewards of being a mum through relaxing, staying calm and having a Superwomen approach.

Your secret is safe with us!

I know, you’re a very organised person but your working space and surroundings are getting neglected. You’re busy doing it all and there are just no systems in place for organising and you just don’t know where to start.

Simple diaries and wall calendars are your rescue. Keeping the cost low you can purchase for reasonably cheap, diaries and wall calendars from any local news agency or supermarket, but for something a little fancier, an on-line or in-store provider like http://www.kikki-k.com/shop/category/products/2012-diaries-calendars/ have a stunning selection.

This is where you start to get yourself and your surroundings organised and free of clutter.

Step 1 Purchase the diary/calendar of your choice. Use this ONLY as your personal organisational planner. This needs to be separate from your day-to-day work diary and/or schedule for the family.

Step 2 Record in/on it, what, when and where your attention is required for the tasks you personally wish to achieve. For example, in my ‘personal diary, I list, put full archive boxes from (office) up in roof, allocate a mat for my little dog so she can sit in my home office with me (office), and, replace my receipt folder pockets with fresh new ones, or, shop for foot stool (office). These tasks you list are to be what makes you feel good, comfortable and helps you create less clutter in your day-to-day working space.

Step 3 The best part is you don’t have to beat yourself up if you don’t finish each task. Just start again the next day. They are your own little to-dos in de-cluttering your environment and with a little time allocated each day, you will achieve the workspace you are longing for.

Small steps lead to bigger things and it’s sometimes the simple things in our live that creates a smile.

For all of you super-busy people here are some handy tips to help organise your life and keep your sanity.

Note it: Keep a small notebook and pen handy wherever you are and jot down ideas or appointments or things to do instead of trying to remember them later on.

Phone Calls and emails: Set times in your day to check message bank and emails. Return calls and reply to emails you have received when it fits in your schedule. Block your diary out eg (10am, 2pm and 4pm). This way you keep a routine and on track.

Waiting time: Use waiting time at the dentist, waiting for a client, or your roast to cook – to catch up on reading or planning, or use the time for tidying up, filing or other tasks.

Praise others: Be sure to offer praise to a subordinate, co-worker or to a member of the family for any effort you’ve noticed – they’ll be happy to help you when you’re bogged down.

Don’t Put It Off! If you procrastinate, you’ll only get stressed out when you think about that hateful “to do” item on your list. You’ll blow it out of proportion in your mind and it will become almost impossible to accomplish. Make sure you tackle the largest or most disliked job first, dividing it up into manageable tasks making the other jobs a breeze!

Schedule Fun Time! Make sure you include some personal time for YOU. Allot some time in your schedule. Make an appointment for yourself and keep it, even if it’s only a leisurely 15-minute walk.

Space Freebies: Go through any old unneeded files to free up space in your filing system.

Once and Only Once: Each piece of paper should be handled only once. Read it and file it, redirect it to someone else, schedule it or toss it. Don’t add it to an ever-ending pile on your desk in hopes that you’ll get to it eventually.

Post-it notes: Use sticky notes to write errands needed to be done. Stick them to your front door to remind you as you’re headed out.

Systems Engineer: Too much time is wasted every day on searching for things. Find a system that works for you and your lifestyle and apply it. Use it religiously and you’ll find new time slots you never thought you had!

The concept of outsourcing goes well beyond using a virtual assistant, cleaner or gardener. By outsourcing tasks you don’t have time for or simply just don’t wish to do yourself, will remove stress in your life and as a result provide you with more time in doing the things you love.

With the busy Australian lifestyle, Australian families are now happy to ask for a helping hand. Families, business owners and single working professionals are smart. They have focus on what really matters and what can be achieved in gaining added value in return for outsourcing some of their busy to-do-list tasks. They are outsourcing for all the right reasons – for themselves, loved ones and friends. Identifying at the end of a long busy working week what really matters is having time to relax and enjoy a better lifestyle.

If you are serious about achieving what really matters, there is a commitment required in being honest to yourself and deciding to follow through with your thoughts. It may be worth investing in the possibility of having someone else take on some tasks for you. Start thinking about what you could do with your extra time. Consider the ‘what if’ and see what it brings for you and for others. You won’t know unless you try!

Steps to take in considering outsourcing tasks.

Make a list! List the things you dislike doing or wished if you could, to get someone else to do for you.

Post-it-notes! Place post-it-notes on anything and everything that needs attention. Making things more visual and ‘in your face’ will draw focus and make you accountable in getting something done about it.

Make the call! If you don’t ask, the answer will always be no. Take the step in placing a call to enquire in gaining assistance. Have the process and procedure explained in how to go about things, ask for a quote and take time to consider. Don’t let it sit, follow it up and get proactive.

What a better way to plan for your New Year’s resolution than outsourcing your tasks in allowing you a better lifestyle.

Our clients often refer to us at their ‘secret little helpers’. While were working behind the scenes getting things sorted and organized, they have their friends and family raving about them, making them the star. We love that we manage to accomplish this for them!

We will be sharing more on our thoughts and outsourcing services with Channel 10 early next week when they interview us on this very subject.

Happy organising! Remember you are not alone – we love the jobs you hate!

Serves 8-10

This can be made up well in advance and frozen. Allow to soften slightly before serving.

Ingredients

1.5 cups mixed dried fruits (including some chopped glazed cherries)

2 tablespoons brandy or Grand Marnier

half cup toasted slivered almonds

2 teaspoons mixed spices

1 teaspoon ground cinnamon

2 litres of vanilla ice cream

half cup chopped raspberry lollies

Chocolate sauce or cream to serve

Method

Marinate the fruit in the brandy or Grand Marnier for at least 4 hours.

Remove ice cream from freezer and allow to soften but without becoming ‘liquid’.

Stir in all other ingredients gently but thoroughly.

Mixture may be returned to the carton but it looks much more attractive if refrozen in a bowl or fluted cake pan. Freeze for min 4 hours.

We literary put the meaning of ‘Secret Santa’ into shopping for our clients. Getting paid to shop with other peoples money – Is there any other better job?

Recently featured in the Sunday Mail (4-December page 28) we shared our story.

‘While many of our customers were wealthy and spent up to $1000 on a gift, others were cashed-strapped families seeking advice on how to stay within a budget.’

‘We sit down with our clients and we work within their budget’. ’If customers are not that savvy but they have got an idea about what they want, we can sort it out for them’.

Personal shopping for a Personal Concierge is a dream job but with that comes a lot of planning, organising and going to some extreme measure to gain information we need to purchase items on behalf of the clients for their loved ones. These extremes have lead us to be ‘secretly present’ within a restaurant to have a visual view of the clients partner we are purchasing for.

As shared with Sally Chester-Law on 4BC radio today, some may find this extreme to be a bit ‘creepy’ however have said it to be the best concept they have ever heard.

Christmas shopping for personal presents and intimate gifts are most commonly requested from Bachelor clients as they find this a great way to outsource the task so they are not left feeling uncomfortable in doing themselves.

Common words we hear are ‘I just don’t have enough time to do that’, ‘I am not organised enough’, or ‘I simply refuse to wait in line’. This is where a personal shopper ‘secret santa’ is called on.

Now with only 21 days to go until Christmas don’t be wasting your time waiting in lines, fighting with traffic and getting all stressed. Outsource to us and reap the reward of time.
